How Do I Set Up an Auto Responder?

 

Setting up an auto responder can be accomplished in three ways

  1. You can setup the auto responder yourself (see instructions Below)
     
  2. Use our convenient form that can be found at Email Auto Responder Request Form.
     
  3. Send us the information in an email and we can set it up for you.  Please include in the email:
    • The start date and time.
    • The end date and time.
    • What you want it the body of the message.
      • I like to have the "Thank you for your email but I will be out of the office until {Date}. If you need immediate assistance please contact {insert alternate contacts name and email address here}."
  4. Send the email to Service@BusyBrain.net.

You can setup the auto responder yourself by going to your webmail account (http://webmail.YourDomain.com) and logging in with your full email address and your email password.

  • Email address MUST be in lowercase.
    • For example "Service@busybrain.net" will not work because of the uppercase "S". 
    • service@busyBrain.net  also will not work because of the uppercase  "B".

on the first screen you will see the initial choice screen:

Just click on "Auto Responders" at the bottom of the screen.

On the home screen click on the "Add Auto Responder" button.

You will now see the Modify/Add Auto Responder screen (below)

Information for the different fields:

  • Interval: How long to wait before resending your auto-responder to an email address.  Normally set this to 20 hours.
  • From: Enter your name here (or email address if you prefer).
  • Subject: I suggest "Out of Office" as that is kind-of the standard.
  • Body: This is whatever you want in the body of the email.  I like to have the "Thank you for your email but I will be out of the office until {Date}. If you need immediate assistance please contact {insert alternate contacts name and email address here}."
  • Start: Choose "Immediately" for the auto responder to start when you click the Create/Modify button OR choose "Custom" to get a popup calendar to choose the start date and time (note that the time is EST). (See the image below)
  • End: same choices as start but refers to the end date and time. (See the image below)
  • When you you click the Create/Modify button the auto responder software will look for errors (like no body text or a start date/time in the past). If no errors are found then the auto responder will start when and end at the appropriate date and time. (See the image below)
